INTRODUCTION

Together with our partner, an international Executive search firm specialized in professional services sector, we are looking for Contract Coordinator bilingual Russian/English based in Poland (Warsaw) - for one of the largest international law firms operating world-wide.
ResponsibilitiesPurpose of role:

An exciting new opportunity has arisen within our Client’s Marketing and Business Development Team to support the development.
The successful Russian speaking candidate will join the Europe Proposals team working out of the Business Services Europe center based in Warsaw, Poland and will become part of a dynamic, innovative and creative team that directly supports the firm win new business and increase its market presence.

Responsibilities

• Supporting the lawyers on Russian and international panels and project opportunities, many of which are cross-regional or global
• Manage all aspects of the proposal process from receipt of the RFP to delivery of the final product. This includes evaluating the opportunity, developing a strategy around the look, feel, tone of the response, creating compelling content, ensuring quality assurance and timely submission, and post-mortem review and analysis
• Supporting multi-region opportunities led by other regional Proposals Team members by providing input – e.g. credentials, identifying the lawyers with matching expertise, pricing
• Active role in designing, creative ideas about graphics and content placement (in cooperation with the Creative Team)
• Preparing proposal / panel statistic reports
• Maintaining accurate and detailed proposal records on Global Proposal Generator
• Preparing high-quality supporting materials for client / proposal meetings (Microsoft Word, PowerPoint)
• Supporting other Proposals Team members on pre- and post-bid administration: sending email communications and notifications, creating the proposal responsibility matrix etc.in global proposals
• Supporting Proposals Team projects to improve proposals infrastructure in Europe and globally
RequirementsRequired experience, skills and attributes:

• Excellent level of Russian and English (up to native)
• Degree educated (or equivalent)
• Excellent writing and editing skills
• Strong project management skills
• Previous proposal writing/management experience is a must; experience at a law firm is an asset
• PC literate with excellent working knowledge of MS Word and PowerPoint, and strong knowledge of Excel
• Excellent written and verbal communication skills
• Excellent organization and prioritization skills
• Trustworthy with sensitive and confidential information
• Able to exhibit a positive attitude and interact positively at all levels within the firm and a good team player
• Able to effectively negotiate with and influence colleagues and others to achieve a successful outcome
• Strong problem solving and analytical skills; can clearly explain and present problems and issues to others and contribute to their resolution
• Can demonstrate initiative and the ability to be proactive, anticipating needs
• Able to exercise tact and diplomacy in an organizational setting
• Able to make decisions and remain calm whilst under pressure
• Methodical approach to work with a strong focus on accuracy, attention to detail, consistency and quality
• Understands the need for documentation and well-defined procedures
• Able to work under pressure to tight project deadlines and can adapt to differing demands, prioritizing tasks where appropriate and ensuring complete 'follow through' on operational issues
